Board meetings are held at 1:30 pm on the third Thursday of the month at the West End Community Center (but not in December.)

Financial Procedures

Part of the Treasurer's responsibility is writing checks to various charities and worthy causes and reimbursing club members for expenses they have incurred doing the work of the club.

The treasurer may not write any checks or reimburse any monies unless the expenditure is: A) listed as a line item in our approved budget B) the result of a motion passed in a board meeting (amounts under $100) or a motion passed by the entire club at a general meeting (amounts $100 or more), or C) reimbursement to a club member for an approved club activity.

The procedure does not end with a passed motion. The member who initiates the motion, whether approved in the board meeting or at a general meeting, is then responsible for filling out a voucher (treasurer provides these) and giving the request to the treasurer.

Then your treasurer will be happy to write the check, include a donation cover note, put it in an envelope, stamp and mail it to the person or organization at the address you have provided on the voucher. If you are asking to be reimbursed, please include the receipts with the request.
